About Process

Assists with the day-to-day operations of the Human Resource office for FPO, other Quatrro US companies, and specific QMS items

manages the administration of Human Resources reporting, HRIS, policies and procedures and works in close coordination with the VP of HR and other HR staff

carries out responsibilities in the following functional areas: departmental development, employee relations, training and development, benefits, compensation, employment, organizational development, and employment.

Conducts orientation for all new employees including company history and information, benefits, compensation information, procedures and policies

Processes all new hire orientation materials, ensures forms are complete, and enters all new hire data in to necessary HR systems such as Timesheet, ADP, and CPO. c. Completes and/or verifies benefits enrollments

Conducts new hire interviews

Manages employee benefits payroll adjustments

Provides backup for payroll changes

Determines benefits write-offs. d. Ensure US payrolls are completed timely and accurately by working with the Payroll team

Review, input, and adjust employee hours data into the data file as needed

Enter payroll-related employee changes such as tax, direct deposit, LOA, and benefits information

Produce and deliver payroll reports as needed for Finance and recordkeeping purposes deposits.

Enter 401(k) contributions into the Fidelity PSW management system and fund 401(k)

Registers for and maintains tax ID numbers and Unemployment Insurance numbers as required for new states as necessary

Writes and places ads, screens resumes, conducts phone interviews, and coordinates and conducts in-person interviews.

Writes and presents offer letters as requested.

Collects and submits applications for background checks

Coaches managers on legal and beneficial interviewing techniques.

Meets with broker to initiate annual benefits process, analyses possible plan changes, contributes to final decision-making process for new benefits plans each year.

Assists in preparing for and setting up meetings with employees.

Administers benefits program for all US employees, serving as main intercessor between employees and insurance companies and handling employee benefits issues

Informs staff regarding benefits options and coverage during open enrolment and orientations

Coordinates processing requirements, forms, online applications, terminations, documents, and other benefit items to/from employees, including.

Partners with Finance to reconcile billing and payroll deductions on a monthly basis.

Maintains familiarity with and trains as necessary on insurance company websites, systems, and related requirements for online administration

Collects all US employee/supervisor reports-to data to create appropriate review structures and manages all changes during evaluations

Creates appropriate data sheet, goals sheets, and forms as needed

Conducts annual Manager and Employee training around evaluations, performance management, workflow, and systems. d. Assists in running US management roundtables

Assists employees and managers in understanding forms, systems, the importance of performance management, appropriate completion, etc

Alerts Management of potential situations and completion status. g. Assists on PIPs and writes PIP documentation. 

Advises on proper, legal, and/or recommended terminations. i. Participates in terminations by writing and processing termination paperwork, attending termination meetings, and conducting separation interviews

Ensure complete termination processing in HRIS, payroll, timesheet, benefits, and other systems as required

Creates ad hoc reports as requested

Independently works with outside vendors, implementation specialists, and IT support staff to implement and administer all necessary Human Resources systems

Maintains HRIS system including employee status, recruitment, general information, employee resources, and security, as well as all content

Maintains Timesheet and Employee Administrator systems including security, user status, corrections, PTO corrections, and manual entries for employees without access

Provides reports and data for annual audits for FPO, 401(k), and worker’s comp

Produces monthly reporting for parent company including headcounts and attrition data

Produces monthly internal reporting including benefits, insurance, tuition, referrals, attrition, census, org chart, headcounts, leave of absence, and PTO data

Completes annual government reporting (EEO, Medicare-D, OSHA, 5500s)

Works with company leaders and employees, as well as conducts personal research, to develop training presentations, agendas, sessions, etc.

Delivers training presentations as needed alone or in junction with others.

Track attendance and feedback for training sessions

Work with leadership to determine training needs

Monitors legal compliance in granting, extending, denying, and/or paying for LOAs.

Applies leave of absence changes to payroll and PTO accruals as applicable

Coaches employees on options surrounding leaves of absence

Processes LOA paperwork, leave calendars and benefits

Maintains a winning, can-do, positive, engaged attitude

Updates and enforces company policies and procedures as necessary

Consults/coaches employees who come to HR with work and/or personal issues and helps institute conflict resolution

Collects data for, organizes, and writes the FPO Newsletter

Leads other WCAT initiatives as required. e. Order employee and client gifts as necessary

Maintains a winning, can-do, positive, engaged attitude

Maintains PTO balances and conducts reconciliation, calculates payouts, runs accruals, makes corrections as necessary.

Updates, uploads, and maintains accurate compensation in HRIS to reflect any changes, as well as for new hires and terminations.

Assists in meetings with employees to communicate adjustments.

Prepares, creates, and distributes all employee increase memos.

Prepares and maintains reports/spreadsheets for annual increase analysis

Conducts salary research. 

Answers employee questions about compensation issues.
